Renting a vehicle on University business - Are you covered?

The University has several vehicle rental agreements. In order to receive the UC rental agreement rate (including the insurance coverage) the University account number must be provided when making the reservation. If you are traveling on University business and rent a vehicle at the agreement rate, the LDW (loss damage waiver) is included at no additional cost. This means the rental vehicle will be covered for property damage to the rental vehicle.

The UC rental agreements also provide primary liability coverage of $100,000 per person and $300,000 per accident and $25,000 coverage for property damage to others. If a vehicle must be rented from an agency that does not have a UC agreement, it is the individual renter’s responsibility for having personal automobile liability coverage. If the individual's personal insurance does not cover rental vehicles used on business, he/she may need to purchase the liability coverage available through the rental agency.

The University does not cover individuals on University business for property or liability exposures unless the UC code is used when booking reservations.

If there will be drivers other than the renter, ask the agency about their policy on "authorized drivers." If an unauthorized driver is involved in an accident, coverage afforded by the rental agency may be disallowed because of a violation of the rental agreement. In addition, many agencies require drivers to be at least 25 years of age. Renters should check with the agency at the time the reservation is made to determine if age restrictions apply. Authorized drivers may be required to sign a driving record statement at the time of the reservation.
